Interlibrary Loan Policy

What is an ILL? An interlibrary loan (ILL) is a transaction in which library material, or a copy of the material, is made available by one library to another upon request.

The purpose of interlibrary loan is to obtain material not available in the Centralia Public Library, and to loan material found at the Centralia Public Library to other Missouri libraries.

Who can use ILL? Interlibrary loan is offered to all registered borrowers in good standing at the Centralia Public Library. Interlibrary loan is transacted only from library to library. Individual patrons from other libraries should request this service from their own library.

What kind of materials can I get through ILL? Books, audio CD’s or cassettes, documentary DVD’s or VHS and periodicals.

Most libraries will NOT ordinarily lend the following types of materials:

  • Newly published materials

  • Old, rare or valuable materials

  • Reference & genealogical materials

  • Entire issues of periodicals

  • Materials in high demand at the lending library; curriculum mat’l, including textbooks

  • Scripts, screen plays & scores

  • Multi-volume sets

Materials that will NOT be borrowed:

  • Materials already owned by the Centralia Public Library and temporarily in use

  • Newly released titles

  • Titles not yet published

How do I request material using Interlibrary Loan? Ask a librarian for an interlibrary loan form at the front desk. Please use a separate form for each request. You may also submit ILL requests through email: centraliapl@gmail.com , or our website: http://www.centraliapubliclibrary.com/contact.html

Any patron can have only 3 active requests at one time. Feel free to place more requests and we will hold them and place the request when you have returned the other ILL’s on your account.

What information will I need to make a request? To request a book you will need the author, title and if possible, the year of publication. Subject requests are also accepted, please be as specific as possible.

To request a periodical article you will need the title of the journal, date, page numbers, author and title of the article. Please be as specific as possible.

A “need by” date should be indicated; please note that your request could take up to 3 weeks to arrive.

To avoid delays, please fill out the form as completely as possible. Please do not use abbreviations. If you don’t have all the information, we will still try to fill your request, but may not be successful.

How long does it take to receive an interlibrary loan item? The Centralia Public Library belongs to the OCLC network. Requests can be placed electronically to several different libraries in Missouri and are delivered by courier. It can take anywhere from 1-3 weeks for an item to arrive from another library, it all depends on the staff at the lending library and the speed of re-distribution at the courier distribution center.

Service will be given as quickly and efficiently as possible.

Do you charge a fee for interlibrary loan? All interlibrary loans are anywhere from FREE - $3.00 when special circumstances exist (i.e. copy fees from lending library). You will be notified up front if any special circumstances exist.

Will I be notified when my interlibrary loan materials arrive? Patrons are notified by telephone when the material arrives. Items are kept up at the front desk for three days after the patron is notified. Please make sure that your library account has a current phone number, so we can make contact with you. No interlibrary loans will be made to patrons with no phone number on their account.

How long can I keep interlibrary loan materials? Typically, books are available for 3-5 weeks, at the discretion of the lending library. The lending library may impose restrictions, such as “no renewals” or “in-library use only”. If you need additional time to use the material, please contact Centralia Public Library as soon as possible, so that we can put the renewal request through. The lending library grants permission for renewals, not the Centralia Public Library staff. Renewals must be requested before the due date. We cannot request renewals for items that are already overdue.

Please make every effort to return items by the specified due date. Interlibrary loan service will be suspended for those who abuse the privilege, including those who repeatedly fail to pick up requested interlibrary loan material or who fail to return materials in a timely fashion.

Patrons with suspended accounts, for failure to return ILL items, will have their ILL privileges permanently suspended.

What are my responsibilities for a lost or damaged item? Payment must be made for materials lost or damaged while checked out to the borrower. No refunds will be made for lost and paid interlibrary loan materials that are subsequently found.
